This Group Cosplay Contest will be held on the 1st day of Mangaholix Manga Mania Convention 2009: November 21, 2009 (Saturday).

Group Cosplay Contest

GENERAL RULES AND GUIDELINES

• There will be a maximum limit of 15 group entries for Cosplay Collision Clan Wars. Each group must have between a minimum of 4 and a maximum of 15 exclusive members per group.
• Exclusive Members - contestants may only join one (1) group for the entire Cosplay Collision Clan Wars. Contestants who are already a member of a group joining Clan Wars are also not allowed to join any other Cosplay Collision contest, namely the Ringside Tournament and Wildcard contests. Any member found joining more than one group or contest will immediately be disqualified from ALL Cosplay Collision contests that he/she entered.
• Each group will compete by putting up a skit or performance onstage and will be evaluated by a panel of judges.
• Each group will be given a maximum of 5 minutes to perform onstage. Performances may range from fight choreographies to dance numbers.
• In addition to costume design and accuracy, judges will evaluate each group by other factors such as direction, choreography, creativity, audience impact, group chemistry, and synchronization.
• Groups planning to utilize background music and/or sound effects are required to submit upon registration, a copy of the FINALIZED sequence of music to be used during the performance. The entire sequence should not exceed the maximum of 5 minutes allotted to each group’s stage time and must not contain any material that does not conform to the rules, regulations, guidelines, and code of conduct of the contest.
o Format: CD or DVD, either playable or in MP3 digital format only.
• Groups planning to utilize background music and/or sound effects are additionally required to have an assigned sound director or representative to assist and coordinate with stage staff and/or technical personnel during the respective group’s performance. Any additional equipment to be used must first be approved by the M3Con organizers and/or cosplay team upon registration. Each group may only have one (1) sound director or representative. This will not count towards the group’s maximum allowable number of members.
• All members/contestants of each group are required to be present and accounted for at the stage area 30 minutes before the contest is scheduled to begin (specific schedule to be announced). Groups with absent or tardy members may be disqualified from the contest.
• The order in which each group will perform will be randomly drawn prior to the contest.
• Groups are highly discouraged from any inaction or non-performance. In the event that a group has not begun any performance after one (1) minute of being onstage, official Cosplay Marshals will issue only one warning to the group to begin their performance. If the group still hasn't begun performing after two (2) minutes of being onstage, they will be automatically disqualified from the contest and will be asked to vacate the stage area.
• Judges decisions are final.

M3CON’09 COSPLAY COLLISION OVERALL ENTRY GUIDELINES

THEME
• All cosplay entries should be limited and based on existing characters from the following mediums: Anime, Manga, Manhua, Manhwa, Comics, Cartoons, Television Series (Science-Fiction and Fantasy Only), Movies, Toys, Hobby & RPG Games (ex. War Hammer, Dungeons & Dragons, Exalted, etc.), PC Games, Videogames, and MMO Games (Massively Multiplayer Online Games). Cosplay Collision: Wildcard contestants my choose costumes/ensembles beyond the above list.
• All participants, except Cosplay Collision: Wildcard entrants are required to submit a reference copy of the character they wish to portray upon preregistration. A strict “no-reference-no-registration” policy shall be implemented.
• M3Con is a wholesome and General Patronage event. All costumes and fan service acts must be kept within GP boundaries as such (i.e. no nudity, cursing, harsh language, violence, sexual depictions, etc.).
• The M3Con organizers, at their own discretion, reserve the right to remove attendees that they deem to not be keeping with the guidelines.

ELIGIBILITY
• This contest is open to all M3Con attendees who have accomplished and submitted the preregistration & registration requirements, and have been approved by the M3Con cosplay team for their respective contest.
• The contest is open to all participants aged 7 and above. Any participant under the age of 18 should secure a permit from his/her parents or guardian. Applying entrants under the age of 7 will be considered on a case-to-case basis.
• Scantily clad, revealing, and/or sexy costumes will be allowed but are discouraged. Costumes that are found to break with commonly accepted social norms may be prohibited. The M3Con cosplay team retains the right to disqualify any participant at their own discretion. In extreme cases, attendees violating this clause may be requested to change into appropriate attire or immediately vacate the event premises.
• Any family member and/or relative of any organizer or staff member of M3con will not be allowed to participate in any of the cosplay contests.
• Contestants will be limited to joining only one of the three cosplay contests. Contestants may not join more than one cosplay contest, even under a pseudonym and/or a different character costume. Anyone found violating this rule will be automatically disqualified from all M3Con cosplay contests.

PROPS
• Oversized or large costumes/ensembles (over 1m wide and/or 2m tall) should take care not to hamper the activities and movement of other attendees, and must be preapproved by the M3Con organizers and cosplay team prior to entry.
• All props, especially large and/or heavy ones must be handled with utmost care and must not cause harm or injury to surrounding personnel and event attendees, or damage to event structures and fixtures.
• Any and all forms of sharp, pointed, and/or bladed props/accessories complimenting or otherwise part of the costume ensemble is strictly prohibited.
• Any and all forms of pyrotechnic, incendiary, and/or explosive materials are strictly prohibited.
• Flashing, blinking, and/or bright light components of skits, costumes, and/or accessories must be kept to a minimum and should not cause disturbance to the event, its sponsors/exhibitors, and other attendees.
• Sound and musical instruments, and/or other audio components of skits, costumes, and/or accessories must be kept to a minimum and should not cause disturbance to the event, its sponsors/exhibitors, and other attendees.
• Each human prop will be counted as a participating contestant for group cosplay contests. Human props may not participate on-stage with contestants in the individual categories with the exception of assisting a contestant to get up on stage. Any performance rendered with the help of human props is allowed but will be ignored in judging for costrip contests with the exception of skits acted out with fellow costrip contestants.

DISCLAIMERS AND LIABILITIES
• The M3Con organizers and cosplay team will not be held liable for any and all damages and/or injuries resulting from any contestant’s or attendee’s negligence of the stipulated rules, regulations, guidelines, and code of conduct, or their inability/refusal to follow and obey the instructions of the M3Con organizers and cosplay team, including but not limited to its staff, security personnel, volunteers, and marshals.
• The M3Con organizers and cosplay team reserves the full right to disqualify any contestant that ignores or violates any of the stipulated rules, regulations, guidelines, and code of conduct.
• The M3Con organizers and cosplay team reserves the full right to refuse the participation and/or entry of any contestant/s that they deem to not be in keeping with the spirit of the event, its contests, and its partners/sponsors/benefactors.
• By joining any of the Cosplay Collision contests, contestants and/or their guardians thereby willfully and with full understanding grant to Groundbreakers, Inc., the M3Con organizers, its partners/sponsors/benefactors, staff, and authorized press, the right to photograph and/or record the contestant’s person, image, voice, and likeness during and at the event premises to be used at their own initiative and sole discretion.
• Contestants furthermore relinquish any and all intellectual & exploitation rights to all photographs and recordings taken by Groundbreakers, Inc., the M3Con organizers, its partners/sponsors/benefactors, staff, and authorized press, additionally releasing them from any and all damages & liabilities resulting from the use, propagation, and/or exploitation of the said medium/s.

HOW TO JOIN: PREREGISTRATION AND REGISTRATION
• All applicants preregistering for the Cosplay Collision Ringside Tournament and Clan Wars cosplay contests are required to submit the following:
o A fully accomplished preregistration form*
o Copies of fully accomplished and signed release waiver/s*
o A reference image of their chosen character
o Copy of valid photo ID (government, employment, or school only)
o Parental or guardian’s consent form (for each and every registrant under 18 years of age)
* Available for download at the start of the preregistration period – to be announced

• Group entries need only submit one (1) fully accomplished preregistration form but each and all members of a group (including the sound director) are required to submit their respective documents to be included with the group’s application.
• Incomplete applications will not be entertained.
• Applications will be handled on a first-come-first-serve basis.
• Forgery of any of the required documents is strictly prohibited. Violators will be immediately disqualified from this and all future contests and events.
• Preregistration applications may be submitted online along with copies of the signed waivers and parental consent form (if applicable), of which ORIGINAL hard copies must still be submitted during registration at the event. (submission procedures and directions will be indicated on the preregistration form)
• All applicants will receive a confirmation email of the receipt of their application within 48 hours or 2 days. DO NOT send more than one (1) email application during this grace period or your application will be automatically REJECTED.
• NO SPAM – The email provided in the preregistration form is for Cosplay Collision use only. Any unrelated emails will be automatically ignored and marked as spam/junk mail. DO NOT email questions already covered by the FAQ provided. Direct all other M3Con-related inquiries through other provided channels: [link] (other contact methods to be announced).
• Each application will be reviewed by the M3Con cosplay team. Preapproved registrants will be informed of the results of their application.
• All preapproved registrants are still required to confirm their COMPLETE attendance during the registration period at the event itself.
o Contestants are required to submit hard copies of signed waivers and parental consent forms.
o CD/DVDs for group performances need to be submitted.
• Preapproved registrants who fail to confirm their attendance during the registration period will forfeit their slots and be automatically disqualified from the contest.
• Substitutes and/or proxies are strictly prohibited from registering for another contestant. Violators will be automatically disqualified.

COSPLAY COLLISION GENERAL CODE OF CONDUCT
ALL cosplay contestants must adhere to the following rules and guidelines at all times during all performances:

• NO PHYSICAL CONTACT* - To avoid physical injuries, contestants must not make any physical contact with other contestants at any time; this includes both bodily contact and contact with a weapon or accessory. This rule especially applies during mock fights.
• NO PERSONALLY ABUSIVE LANGUAGE - Some characters are expected be more verbally aggressive than others so it would be natural for contestants to expect some aggressive dialogue directed at them in the spirit of the contest. Contestants must however avoid PERSONALLY abusive language; for example, directing an insult at the contestant's person rather than his/her character. Contestants are also expected to keep cursing and expletives to a minimum; for example, words like "sh*t" and "f*ck" should be expressly avoided.
• NO INTIMATE/SEXUAL DEPICTIONS* - Some characters are expected to be more sexual or seductive than others so it would be natural for contestants to portray some sexually suggestive gestures. However, contestants must remember at all times that they are still bound by the general codes of conduct of the event. This means, no torrid or deep kissing, flashing, nudity, stripping, excessively sexual choreography, etc.
• NO POLITICAL AND/OR SOCIAL COMMENTARIES - Contestants are not allowed to make any political or social comments onstage. This includes the mention of any real person outside of the character's immediate storyline; for example, politicians, celebrities, personal friends & relatives, etc. This rule also extends to the plugging of any social or political group/s and its cause/s or slogan/s. This rule applies to the use of any of the aforementioned examples for comedic material.
• NO PROPAGANDA - Contestants are not allowed to use any amount of stage time to promote any cause, organization, religion, activity, etc. that is otherwise not covered under political and/or social commentaries. This extends to the use of any of the aforementioned examples for comedic material.
• NO BIGOTED OR INTOLERANT COMMENTARIES - Contestants are not allowed to say, make, or promote any acts and/or comments of social, racial, religious, political, sexual, and prejudicial bigotry and/or intolerance. This extends to the use of the aforementioned forms of bigotry for comedic material.
• NO PLUGGING - Contestants are not allowed to advertise, plug, and/or promote any form of product, company, website, publication, organization, personality, etc. that is not directly related to the character's immediate storyline.
• NO PERSONAL INTERACTION WITH NON-CONTESTANTS - Contestants are not allowed to personally address, speak to, gesture at, touch, or otherwise interact with non-contestants (with the exception of Cosplay Marshals); these include stagehands, technical personnel, individual/s in the crowd/audience. Contestants may only address or otherwise interact with the crowd/audience as a whole.
• DO NOT INITIATE INTERACTION WITH THE JUDGES - Contestants are not allowed to address, speak to, gesture at, touch, or otherwise interact with the judges UNLESS the judge/s initiate/s an interaction with the contestant/s.
• BE RESPECTFUL - Treat the judges, your fellow contestants, Cosplay Marshals, staff, crew, personnel, and audience with proper respect at all times. Contestants displaying discourteous conduct will be immediately removed from the premises.

* Some exceptions can be made with preapproval from the M3Con organizers and/or cosplay team for group entries in Cosplay Collision: Clan Wars ONLY.

WARNINGS WILL NOT BE GIVEN. CONTESTANTS FOUND DELIBERATELY VIOLATING THE ABOVE RULES WILL BE AUTOMATICALLY DISQUALIFIED FROM THE CONTEST AND IMMEDIATELY REMOVED FROM THE PREMISES.
